Heart & Soul Fest 2026 – Terms & Conditions of Entry
By entering Heart & Soul Fest 2026 (“the Event”), organised by Heart & Soul Racing Ltd (“the Organiser”), you agree to the following Terms & Conditions:
1. Entry
All entries are made via Eventrac and are only confirmed once full payment has been received.
Entries are personal to the named individual and may not be transferred or resold without prior approval from the Organiser.
The Organiser reserves the right to refuse entry at its sole discretion.
2. Refunds, Deferrals & Transfers
Entries are non-refundable under any circumstances, including injury, illness, travel issues, or change of personal circumstances.
Transfers to another participant may be permitted up to 30 days before the Event, subject to a £10 admin fee.
Deferrals to a future event are not guaranteed but may be offered at the Organiser’s discretion.
If the Event is cancelled due to circumstances beyond the Organiser’s control (e.g. extreme weather, government restrictions, safety concerns), the Organiser will endeavour to offer a rescheduled date or transfer to a future event. No refunds will be issued.
3. Participant Responsibility
Participants enter at their own risk and are responsible for ensuring they are medically fit and appropriately trained to take part in the chosen activity.
The Organiser strongly recommends that participants seek medical advice before undertaking strenuous exercise.
Participants must follow all instructions from event staff, marshals, and safety officers on the day.
4. Age Restrictions
Participants must meet the minimum age requirements for their chosen event as stated on the entry page.
Under-18s must have parental/guardian consent and be accompanied by a responsible adult at the Event.
5. Insurance & Liability
The Organiser has public liability insurance in place.
The Organiser accepts no responsibility for personal accident, loss, or damage to personal property while attending the Event.
Participants are strongly advised to arrange their own personal accident insurance and to ensure valuables are secured.
6. Event Changes
The Organiser reserves the right to amend the course, format, schedule, or venue at short notice if deemed necessary for safety, licensing, or other operational reasons.
Any such changes will be communicated to participants as soon as possible.
7. Photography & Media
By entering the Event, you grant permission for the Organiser and its partners to use photographs, video, or other media of you participating in the Event for marketing, promotion, and reporting purposes, without payment or compensation.
If you do not wish to be featured in promotional material, please inform the Organiser in writing prior to the Event.
8. Conduct
Participants are expected to behave respectfully towards other participants, staff, volunteers, spectators, and the venue.
The Organiser reserves the right to remove any participant from the Event for dangerous, abusive, or antisocial behaviour without refund.
9. Alcohol & Substances
No participant may compete under the influence of alcohol or illegal substances.
Alcohol purchased on site may only be consumed within designated areas.
10. Acknowledgement of Risk
Participation in endurance sports, fitness competitions, and trail running carries inherent risks, including injury, illness, and in rare cases, death.
By entering, you acknowledge and accept these risks and waive any right to claim against the Organiser except in cases of proven negligence.
11. Governing Law
These Terms & Conditions are governed by and construed in accordance with the laws of England & Wales.
